What personal information Vectis Works keeps, where we get it, what we do with it, and how to have it corrected, removed or kept out of our emails for good.

Who we are

Vectis Works designs and builds shop-floor dashboards, data systems and software for manufacturers. Our mailing address is 100 Powell Place #1170, Nashville, TN 37204.

This policy applies to two things: this website, and the business emails Vectis Works sends. Where it says "we" or "us", it means Vectis Works.

A visit to this site

The site sets no cookies and runs no analytics. Our hosting provider keeps the ordinary technical logs any web server produces, such as IP address and browser type, so it can deliver pages and guard against abuse. The typeface is loaded from Google Fonts, which receives your IP address when your browser asks for the font.

Why you might hear from us

We write to people at companies whose jobs relate to the work we do, for instance people responsible for a plant, for operations, for engineering or for IT. Nearly always that is an email to a work address. Occasionally it may be a phone call, or a letter mailed to a business address.

We only get in touch when we believe our work could be relevant to your company, and we stop when you ask.

Information we keep

About people. Where we can find them: name, job title, employer, work email address, business phone number, and the web address of the person's page on a professional network.

About companies. Facts such as a company's name, website, industry, size, location and business address.

Public business activity. Job postings, news coverage, and posts published for anyone to read.

Email checks. The result of testing whether an address can receive mail, so we avoid sending to one that would bounce.

Conversations. Messages you exchange with us, and the notes we make about calls and meetings.

Site visits. Only the hosting logs and font request described above.

We do not collect sensitive information, such as government identification numbers, financial account numbers or anything about health.

Where it comes from

From public sources, including company websites, job boards, news outlets and professional networking profiles. From commercial providers that supply business contact and company data. And from you, whenever you reply to us, complete a form or speak with us.

What we do with it

We use it to judge whether our services could matter to your company; to contact you at work; to check that an email address works before we send to it; to answer you and, if you ask, to talk about or deliver our services; to keep our do-not-contact list; and to protect our systems and meet our legal obligations.

We don't track whether you open our emails.

Telling us to stop

Reply to any email from us and say so, in any words you like, or tell the person who calls you. We act on it promptly, and in every case within 10 business days.

Afterwards your name and email address stay on our do-not-contact list. That list is what keeps you from being contacted again, even if your details later come to us from a different source.

Who else sees it

We don't sell or rent personal information, and we don't pass it on for other companies' marketing or for targeted advertising.

It goes only to: service providers acting for us, such as email and mailbox services, address verification, business data providers, and hosting and storage companies, each allowed to use it only to do that job for us; public authorities, where the law requires it or where it is needed to protect rights and safety; and anyone who buys or succeeds to our business, who must keep to this policy.

How long we hold it

Contact information is kept while it remains useful, and records that have gone out of date are removed. Records about clients are kept as long as the work and our legal and accounting duties require. Do-not-contact entries are kept for as long as we contact businesses at all.

Keeping it safe

Only people who need the information can reach it, and we apply reasonable safeguards to protect it. No way of storing or transmitting data is perfectly secure, so we can't promise absolute security.

What you can ask for

You can ask what we hold about you and where we got it, ask us to correct it, and ask us to delete it. A deletion leaves one short record behind, noting that you asked never to hear from us, because without it we could not keep you off our list.

Depending on your state, the law may give you more: rights to know, to correct, to delete, and to refuse the sale or sharing of personal information, neither of which we do. Exercising any right will not change how we treat you.

We may ask you to confirm which email address we contacted, so we can find the right record. We respond within the time the law allows, and an authorized agent may make a request for you.

Anyone under 18

Our services and our emails are meant for businesses. We don't knowingly collect information about anyone under 18.

Where we operate

Vectis Works is a US business, and the businesses it contacts are US businesses too. Your information may be processed wherever our service providers operate.
